GDPR Privacy Policy

As Specialist Assessors, who process and store personal information, we take your privacy seriously. In this GDPR policy we have provided information on when and why we collect your personal information, how we use it, store it and keep it safe.

Types of data collected

To provide a full assessment for dyslexia, detailed background information is necessary. This includes personal identifiers and information such as date of birth, home address, email address and telephone number. It is also likely that more sensitive data will be required, such as details of a disability or a specific learning difficulty, details of previous support, details of previous assessments or meetings with health care professionals, and school communication. During the assessment data from the various assessments will also be kept, as well as notes taken during the assessment, and possible audio-files from some components of the assessment. Dates for meetings will also be recorded, as well as possible information on other family members, such as familial history of dyslexia or SpLDs.

Why this information is collected

Collecting the background information, alongside data, notes, and possible audio files during the assessment is necessary to provide a full assessment as requested. The information will only be used for the purpose of writing up a comprehensive assessment and will be treated as confidential, following all the necessary steps to keep it safe (see further below).

Who is the information shared with?  

The information is not shared with anyone, and it is up to the client to choose to share the diagnostic assessment report with, for example, their school or GP.

How is the information stored

Your information is securely stored. Scores are processed using the WPS Online Evaluation System, which is password protected. Scoring information is deleted once the report is complete and paper copies managed as below. Electronic data is kept in encrypted password protected files and any paper data is kept in a locked strongbox. Audio files are deleted after assessment scores have been calculated. We dispose of your information by shredding any paper-files and securely and completely deleting any electronic copies.

Where the assessment service is contractually agreed we keep records for 6 years or until the person who was assessed reaches 24 years old. Records are kept for this long to ensure they are available should civil proceedings be necessary.

Access to your personal information

You are entitled to view, amend, or delete the personal information that we hold. Email your request to: dyscoveryassessment@gmail.com

Requests from clients to delete data relating to an individual will be considered on a case-by-case basis but we may be unable to remove all assessment records for legal reasons.
